Privacy Policy

Reclaim takes your privacy seriously. Here's exactly what we collect, how we use it, and how we protect it.

1. What We Collect

Account info: Business name, contact name, email address, and billing address when you sign up.

Payment info: Processed by Stripe. We never store your full card number or CVV, only a tokenized reference and your card's last four digits.

Uploaded documents: PDFs and other files you upload to use the Service. These may contain vehicle info, claim numbers, and insurer details. We recommend redacting vehicle owner personal information before uploading. We don't need it to do our job.

Usage data: IP address, browser type, pages accessed, and error logs. Used for security and improving the platform.

Communications: If you email or call us, we keep those records to respond and follow up.

2. How We Use It

We use your information to provide the Service, process billing, send account notifications, improve platform accuracy, and comply with legal obligations. We do not use your uploaded documents to train AI models without your explicit consent.

3. Who We Share It With

Service providers. We share limited information with the vendors that power our platform. They are contractually bound to handle your data only as directed by us:

Industry data partners. We may share or sell de-identified and aggregated data derived from supplements processed on the platform (for example, statistics on labor operations, P-page citation patterns, and not-included frequency) with insurers, OEMs, repair industry researchers, and analytics partners. This data does not identify you, your shop, your customers, or any specific claim. We do not sell your account information, your uploaded documents, or any personally identifiable information.

Legal. We may disclose information if required by law, subpoena, or to protect the rights, property, or safety of Reclaim, our users, or others.

Business transfers. If Reclaim is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

4. How Long We Keep It

  • Uploaded documents: deleted after 90 days
  • Generated outputs: deleted after 90 days
  • Billing and account records: kept for 7 years (legal/tax compliance)
  • Support communications: 3 years

You can request early deletion of your documents and outputs by emailing support@tryreclaim.com.

5. Security

We encrypt data in transit (TLS) and at rest (AES-256). Access to your data is restricted to personnel who need it to support the Service. No system is 100% secure. If a breach affects your data, we'll notify you as required by law.

6. Your Rights

You can request access to, correction of, or deletion of your personal information at any time. Contact us at support@tryreclaim.com and we'll respond within 30 days.

California residents (CCPA/CPRA). You have the right to know what personal information we collect, to request its deletion or correction, and to opt out of the sale or sharing of personal information. As described in Section 3, we only sell or share de-identified and aggregated data, not personal information. If you would still like to opt your account's data out of contributing to our de-identified industry datasets, email support@tryreclaim.com with the subject line "Do Not Sell or Share My Information."

7. Changes

We'll notify you of material changes to this Policy by email at least 30 days before they take effect. Continued use of the Service after that date means you accept the updated Policy.
